Executive Board - Role Descriptions

(1) TREASURER

The primary role is to administer, maintain and oversee the financial management of WHAMBAA’s operating budget.

Primary Responsibilities

·          Financial Duties

§          Leads the yearly filing of WHAMBAA funds to the WGA

§          Prepares the yearly operating budget

§          Endorse or proposes changes in the approved budget as necessary

§          Perform quarterly reconciliations to the WHAMBAA bank account

·          Accounting Duties

§          Maintain the integrity of all WHAMBAA accounts by monitoring all expenditures and deposits

§          Co-sign all checks drawn against the WHAMBAA account

§          Retain a record of all current paid WHAMBAA members (and similarly for WHAMBAA activities like Wild-On-Salsa)

§          Process all deposits/reimbursements in a timely fashion

(1) CAREER DEVELOPMENT

The primary role is to serve as the liaison with the Career Management Office, companies targeting members, and to assist members with career goals/interests.

            Primary Responsibilities

·          Work with existing corporate relationships

§          Consult with company recruiters on best strategies for gaining most exposure for their recruiting dollars

§          Funnel company announcements to membership as appropriate

§          Organize dinners, chats, information sessions as appropriate

·          Facilitate interaction with MBA Career Management Office

§          Contact point for all career recruiting inquiries from the Career Management Office

§          Keep membership updated as to appropriate training/activities that Career Management Office offers

·          Provide value-added options for members

§          Build a career interest inventory that catalogs the career interests of members to guide programming so that it is tailored to their needs

§          Building and maintaining WHAMBAA resume book

§          Run programming (post WHAMBAA 101) for first and second years to support career/job search topics (either within WHAMBAA or bringing in MBACM resources)

§          Develop strategy for NSHMBA in order to best prepare members for the conference

(1) ADMISSIONS

The primary role is to serve as the contact for Hispanic prospective students throughout their interaction with the official recruiting process.  This post addresses all club needs vis-à-vis all structured interactions.

            Primary Responsibilities

·          Ensure appropriate representation, influence and adequate communication with the Admissions Office

§          Own relationship with Admissions Office diversity recruiting staff

§          Manage member presence and participation on e-talk for disseminating information to prospective applicants

·          Matriculation communications strategy

§          Own communication process for matriculating students

§          Prepare content for the Wharton Inside Guide

·          Official recruiting presence

§          On-Campus (Perspective’s Day, Winter Welcome and Welcome Weekend)

§          Off-Campus (Local Holiday Chats, Admissions Diversity Recruiting Panels)

§          Coordinate greeters and hosts for interviews and campus visits

(1) RECRUITING

The primary role is to serve as the contact to assist with the identification, application and matriculation of future WHAMBAA members.  This post takes a more holistic view on driving Hispanic presence at Wharton.

            Primary Responsibilities

·          Unofficial mentoring program

§          Identify candidates and pass them along to the Admissions Committee

§          Marshal mentorship resources for applicants through their process

§          Work with Admissions to reach out specifically to Hispanic applicants, waitlisted applicants and admitted students

§          Codify the approach to this process

·          Stimulate demand

§          Coordinate undergraduate and high school outreach programming; North Philadelphia High Schools, Nueva Esperanza, Spring Diversity Event

§          Ensure connection to inbound programs such as MLT and MBA JumpStart

§          Co-Chair of Lideres

·          Email undergrads, (Wharton Latino, Acela, SHIP, La Casa Latina, Latino Coalition listserves) and describe the program and send them the application

·          Email grad students and send them the application

·          Match students with mentors

·          Reserve monthly hall and recruit speakers

(1) INTERNAL RELATIONS

The primary role is to cultivate a strong sense of community and camaraderie internally and building WHAMBAA brand equity within the Wharton community through events and cultural activities.

 

            Primary Responsibilities

·          Organize periodic informal and formal settings for all WHAMBAA members to interact and create strong bonds

§          Coordinate the memorializing of our events such as the Holiday Party with photos

·          Foster community

§          Create welcoming, engaging and fun atmosphere within WHAMBAA

§          Explore additional opportunities that foster the sense of community

§          Develop 1st/2nd year mentoring program (coordinate with Career VP)

·          Organize WHAMBAA-sponsored school wide events

§          KoKo Loco

§          PUB

§          Wild on Salsa

§          Pig Roast

(1) EXTERNAL RELATIONS

The primary role is to manage external relations with the greater community.  The focus will be on building WHAMBAA brand awareness and equity.

Primary Responsibilities

·          Coordinate partnerships with other Wharton clubs

§          Facilitate participation at conferences (determine panel theme, recruit planning committee)

·          Wharton Latin American Conference panel coordinator

·          Whitney M. Young panel coordinator

§          Explore and coordinate joint-social events (e.g. pub nights)

§          Attend other club meetings where appropriate

·          Build brand awareness/equity through community-wide efforts

§          Develop strategy for NSHMBA conference (coordinate with Career VP)

§          Organize WHAMBAA’s involvement in key events:

Ø       International Food Festival

Ø       Cultural Show

§          Coordinate participation in greater Penn Community Events

Ø       Law School Events (La Gran Fiesta Symposium)

Ø       GAPSA

Ø       Latino Coalition

§          Maintain relations with local NSHMBAA chapter

(1) ALUMNI RELATIONS

The primary role is to develop and maintain new and on-going relationships with WHAMBAA alumni.

             Primary Responsibilities

·          Build infrastructure

§          Build an alumni database (WHAMBAA Wave)

§          Help develop an alumni interface for the WHAMBAA website (coordinate with Information board member)

·          Engage alumni

§          Create mass email to kick-off WHAMBAA Wave

§          Identify WHAMBAA elders who provide guidance, direction, and advice for WHAMBAA to the Executive Board

§          Develop framework for honoring distinguished WHAMBAA alumni

·          Drive on-going communications

§          Reach out to WHAMBAA alumni and inform them of current happenings within WHAMBAA and Wharton (i.e.WHAMBAA newsletter)

§          Facilitate alumni interactions with current members (alumni dinners)

(1) INFORMATION STRATEGY

The primary role is to codify the WHAMBAA information strategy, maintain the website and build out expanded capabilities that will support WHAMBAA initiatives.

             Primary Responsibilities

·          General function

§          Build and manage the WHAMBAA website

§          Update content and dated materials as appropriate

§          Spotlight a current WHAMBAA member on website once a month

·          New development

§          Develop a protected interface for corporate recruiters to research and contact WHAMBAA members

§          Develop a protected alumni interface to capture contact information and facilitate alumni networking

(1) ACADEMIC DEVELOPMENT

The primary role of the academic representative is to ease the matriculation of incoming students and generate interest in case competitions and academic pursuits.

             Primary Responsibilities

·          Lead and Organize WHAMBAA 101 for incoming First year students (with the full support of all executive board members)

·          Manage WHAMBAA member participation in minority case competitions (including NSHMBAA conference competition)

·          Identify resources for students struggling in a particular class or subject, set up tutoring relationships where appropriate

·          Build and maintain repository of study guides and other academic collateral for core classes, make certain that resources are provided to first year members on a timely basis

·          Provide guidance and information relating to auction related matters

(1)  BUSINESS DEVELOPMENT

The primary role of the development position is to codify the strategy for engaging and building new corporate relationships. This endeavor will be concerned with developing the requisite value proposition and fine tuning it to meet the changing needs of our membership.
